About On Your Face
On Your Face Collective is a rural Wales based arts organisation supporting LGBTQ+ and neurodivergent artists and communities across Wales. Led by queer and neurodivergent people, we champion inclusive, artist centred practice and work to create meaningful, accessible opportunities for creatives. We maintain a growing directory of artists and practitioners, through which we share opportunities and support professional development, equitable pay, and community engagement. Our work includes artist-led events, programmes, exhibitions and community focused projects.
We have been awarded Creative Steps funding from the Arts Council of Wales to support the next stage of our organisational development. This funding enables us to strengthen our internal capacity through training, and by reviewing and updating our policies, procedures and systems, helping us to establish more sustainable and effective ways of working.
About the role:
As part of this development, we are seeking an experienced freelance administrator to join our team in a new and exciting role. The successful candidate will play a key role in developing and implementing essential systems and practices, including email and file-storage platforms, clearer workflows and collaborative tools. They will help build a secure, streamlined infrastructure for communication, file management and data collection, and support the development of updated, accessible policies and operational procedures.
Role requirements:
- Support the On Your Face team to organise and maintain effective file storage, digital tools, and collaborative systems.
- Design and implement a secure, streamlined infrastructure for email, file storage and data collection, alongside clear and practical operational procedures.
- Research, recommend and implement suitable email platforms and cloud based storage systems.
- Review and improve systems for registering and managing artist and member information.
- Support invoicing processes and provide basic finance administration assistance.
- Provide general administrative support, including scheduling, email correspondence and taking minutes at meetings.
- Work primarily from home, with occasional in-person meetings in Swansea or Carmarthenshire as required.
Essential criteria:
- Experience in an administrative role, which may include paid, freelance, voluntary, or community-based work.
- An understanding of GDPR and data protection principles.
- Experience using Relationship/Customer Management (CRM) software, or the ability and confidence to research and learn new systems independently.
- Ability to work independently and collaboratively as part of a small team.
- Experience of researching, recommending and implementing software or digital tools appropriate to organisational needs, or a clear interest in developing these skills.
- A willingness to learn, adapt, and develop new skills over time.
- Strong organisational skills and good attention to detail.
- Reliable, proactive and comfortable taking initiative, with appropriate guidance and support.
- Ability to manage multiple tasks, with flexibility around different working styles and needs.
- Clear and confident written and verbal communication.
- Lived experience of being LGBTQ+ or an ally to LGBTQ+ communities.
- Based in Wales.
Desirable criteria:
- An interest in the arts and cultural sector in Wales.
- Ability to speak Welsh.’
